Use one recurring job. No client names or confidential details are needed. This is a worksheet, not a firm-specific recommendation.

1. Choose one meeting type. Define available slots, buffers, time zones, attendees and rescheduling rules.

2. Agree how participants are informed about recording, who can access it and how long it is kept. Provide a non-recorded option.

3. Design a review step for the transcript and client summary. Confirm each action, its owner and due date before adding it to the CRM.

4. List which profile updates can be proposed, preserve the source and date, and require confirmation for sensitive or ambiguous details. Test failed recordings and duplicate actions.

Your small trial

Before you build: Check calendar booking, meeting transcription and CRM integrations already included in your software.

Review point: Agree recording with participants. Review notes before sharing and confirm actions, owners, due dates and profile changes before saving.
